Medical Care Manager
Purpose: To oversee assigned dog/puppy care shifts and ensure a safe, healthy, humane environment for both dogs/puppies and volunteers caring for them in the kennel and associated areas within and outside of C.A.R.E.
Time Commitment: 40 hours weekly
Salary: $56,000

Reports to: President, C.A.R.E. Board of Directors
Job Summary:
This position requires a detail-oriented self-starter capable of multitasking to manage medical care for all C.A.R.E. cats and dogs including: vaccination, microchip, and spay/neuter schedules; surgeries; procedures and appointments as needed; and ensure that medications are filled and dispensed as prescribed by C.A.R.E.-approved veterinarians. The MCM must also be available for medical emergencies ideally in person, or by phone.
Major Medical Duties
Medically check and vaccinate all animals prior to admission to Adoption Center in accordance with C.A.R.E. protocol, city/state requirements and veterinary recommendations.
Ensure all incoming animals are screened for and free of apparent infectious disease before introduction to resident C.A.R.E. animals
Collaborate with intake team to do initial assessment of new animals arriving at C.A.R.E.
Work with intake team to pre-screen and tag animals prior to intake
Act as primary liaison with C.A.R.E.-approved veterinarians.
Set appointments as appropriate.
Responsible for transporting animals if no authorized volunteers are available.
Seek veterinary advice as needed.
Assist C.A.R.E.’s voluntary veterinarian, during Monday morning wellness checks at C.A.R.E.
Monitor health of all animals and be able to recognize signs of illness or injury.
Set appropriate treatment programs based on veterinary guidance and monitor progress
Ensure that medical treatment protocols are communicated in writing to volunteers responsible for implementing medical treatment programs and posted in all relevant areas and in C.A.R.E.’s animal care database, ShelterLuv, in a timely manner.
Prepare relevant medications for animals that need them. Monitor to ensure authorized volunteers are following the correct dosage and frequency. Communicate in a timely manner in writing any changes and/or completion date for medication(s)
Follow up on volunteer shift medical/health observations and notes.
Ensure flea/tick and heartworm preventative is given.
Update in a timely manner kennel and cage cards with vaccination/medical information and in C.A.R.E.’s animal care database, ShelterLuv.
Provide instructions for overall wellness of adoption center and foster animals (i.e. diet etc.) based on veterinary guidance.
Establish, distribute, and manage protocols for infection control, safe handling, and quarantine procedures (quarantine, temporary off-site, post-quarantine sanitation).
Assess and facilitate urgent/emergency care for animals if needed.
Determine if medical issues can be monitored in the Adoption Center or if the animal should be placed in foster care.
Manage vet-recommended medication(s) for medical or behavioral concerns and specific needs of animals who may be long-term residents to help them become adoption ready.
Coordinate with the cat and dog medical teams on day-to-day tasks that need to be completed outside of the MCM’s working hours.
Make medically-related euthanasia decisions in consultation with veterinarian and BARC or FBARC Committees
Adoption, Foster-Related, and Administrative Duties
Ensure all required care and relevant paperwork (state form, rabies certificate, etc.) is provided prior to adoption.
Prepare medical disclosure paperwork and update records in animal care database, ShelterLuv.
Maintain and update state-required medical disclosure form given to adopter.
If long-term medicines are necessary, research monthly cost information to be provided to potential adopters.
Keep medical records current and available to adoptionteams and others.
Coordination
Coordinate with adoption counselors and the cat and dog medical teams on post-adoption support inquiries.
Provide support, consultation and training of a medical nature to fosters and foster coordinators as needed.
Monitor expenses in relation to annual budget and report any significant variances to President.
Monitor and report extraordinary medical expenses and work to offset them when possible with fundraising efforts in coordination with fundraising and social media team (over $1,500)
Discuss expensive medical treatment with volunteer teams and seek pre-approval from President of the Board.
Ensure availability of medical supplies
Monitor supply and distribution of medical supplies
Order necessary medical supplies
Order rabies certificates and register rabies tags with Cook County
Meetings and Miscellaneous
Lead weekly rounds for both feline and canine programs.
Regularly communicate or meet with feline program team and Canine Program Manager.
Meet as needed with shift leads, foster teams, adoption counselors, etc.
Regular meetings with President of the Board
Meet with and provide medical updates to C.A.R.E. Board of Directors on a quarterly basis
Provide compelling animal stories with medical casesand other medical info to fundraising team for fundraisers, potential grants, grant and annual reports, etc.
Requirements
Minimum three years’ experience in an animal shelter environment or adoption center
Work experience as a vet tech
Cat/Dog handling experience: minimum 3 years (required)
Illinois Driver’s License (required)
Must have access to vehicle to transport animals to vet appointments and surgeries, etc.
Must have a general knowledge of common cat and dog illnesses and symptoms
Knowledge and training on proper animal handling, including patience and sensitivity with animals and volunteers.
Experience with cat and dog medical issues and administering medications.
Ability to manage time effectively.
Excellent interpersonal communication skills, team player, ability to motivate volunteers.
Excellent organizational skills with strong attention to detail and ability to multi-task.
Supervisory skills to direct and train the cat and dog medical team and volunteers regarding medical issues.
Strong technical skills including shelter database software, communication software such as Slack, Google documents, Word, Excel, Google Drive, and animal care databases such as Rescuegroups and Shelterluv. Ability to learn new software and adapt to hardware.
